Aerflow Data Sharing Policy
1. Overview
Friend sharing in Aerflow helps pilots see when colleagues are flying now, flying later, at an airport, or overnight. Share schedule is enabled by default for Aerflow accounts. You can turn sharing off or limit what friends see at any time in Friends → Sharing settings.
When sharing is on, Aerflow automatically uploads sanitized schedule summaries and flight-status snapshots when you add, update, or refresh your flights. Nothing is shared with users who are not mutually accepted friends.
2. What May Be Uploaded
When Share schedule is on, Aerflow may upload:
- Sanitized schedule summaries — flight dates, airport pairs, scheduled departure and arrival times, and optional fields you enable (flight numbers, gates, delay information)
- Friend status snapshots — a cached summary of your current flight activity for the Friends tab, such as whether you are flying now, flying later, at an airport, overnight at home base, or have no activity today
- Home base airport — when Share home base with friends is on, your home base code may be used so friends can see overnight or at-base status
- Profile photo — when you set one, mutually accepted friends can see your avatar in the Friends tab
Only the fields and visibility level you choose are included. We do not upload airline credentials, crew portal logins, or unrelated personal notes.
3. Visibility Controls
You control how much friends can see:
- Full flight details — route, times, gates, delays, and status
- Status only — activity status and route without flight numbers
- Airport only — airport-level activity without full route details
- Disable sharing — no schedule or status data is shared
You can also toggle individual fields such as flight numbers, gates, and delays when sharing is enabled. Home base sharing can be turned off separately in Profile settings.
4. Who Can See Shared Data
Only mutually accepted friends can read your shared schedule data and status snapshots. Friend connections require action from both parties. We do not make shared schedules public, searchable, or visible to non-friends.
5. Automatic Sync
When sharing is enabled, Aerflow syncs your shared schedule summaries and status snapshots automatically when your flights change — for example, when you add a leg, refresh flight status, or open the app. Friends receive these updates through our cloud service.
6. Flight Status Lookups
Friends who view your shared schedule, Friends tab status, or Crew Lock Screen tracking may cause flight-status lookups using identifiers you chose to share (such as flight number, route, and date). These lookups are performed through Aerflow’s servers, which maintain a shared short-lived status cache and may request data from FlightAware. Only mutually accepted friends with appropriate sharing or crew settings can trigger these lookups.
7. Crew Lock Screen Tracking
Crew Lock Screen tracking is a separate, opt-in feature for subscribers on an Aerflow Pro + Crew or Crew Unlimited plan:
- The pilot chooses which friends may follow their flights on Lock Screen
- Each friend must separately opt in before tracking begins
- The friend sees gate, status, route, and progress information consistent with the pilot’s sharing settings
- Friends do not need a paid Aerflow subscription; the pilot’s Crew plan covers this feature
- Either the pilot or the friend can disable tracking at any time
When crew-watch tracking is active, the friend’s device may show a Live Activity and register a push token linked to the pilot’s shared schedule so updates can arrive while the app is in the background.
8. What Is Never Uploaded
Aerflow does not upload airline credentials, crew portal logins, union scheduling passwords, or full airline roster exports. Sharing is limited to schedule summaries and status snapshots you enable in the app.
9. Turning Sharing Off
You can disable sharing at any time in Friends → Sharing settings. When Share schedule is off or visibility is set to Disable sharing, cloud copies of your shared schedule data and status snapshots are removed. Data stored locally on your device remains until you delete it. Disabling Crew tracking for a friend stops new crew-watch Live Activities for that connection.
10. Your Responsibilities
You are responsible for complying with your employer’s confidentiality, social media, and data policies before sharing schedule information with friends or enabling Crew Lock Screen tracking. Aerflow cannot determine what your employer permits you to share. Do not enable tracking for anyone who has not opted in.
